General Terms & (Rental) Conditions Villa White Lion
1. General
- These rental conditions apply to all bookings for renting Villa White Lion, located in Zandspruit Bush & Aero Estate, R527 Main Road, Hoedspruit, South Africa.
- By making a booking, the tenant agrees to these terms and conditions.
2. Booking and Payment
- Bookings can be made directly through the booking module on this website or via email (info@villawhitelion.com). After booking, you will receive a booking confirmation from us.
- A prepayment of 30% of the total rental amount is required to confirm the booking. The remaining amount should be paid the latest 60 days before arrival.
- You must be 18 years or older to make a booking.
3. Deposit
- A deposit of €350 will be held via pre-authorization on the credit card 1 day before arrival and will be released no later than 5 days after departure, provided there is no damage.
4. Additional Costs
- The total rental amount includes additional costs such as local taxes, administrative fees and VAT. Extra services ordered, such as grocery service or extra cleaning, will be paid on-site.
5. Arrival and Departure
- Check-in is possible from 3:00 PM. As the host will meet you at the entrance gate of Zandspruit Bush & Aero Estate and guide you to Villa White Lion, it is important to communicate your arrival time in advance. The final arrival time can be communicated to the host up to 30 minutes before arrival.
- On the day of departure, we expect you to leave the house by 10:00 AM at the latest. Ensure that lights, air conditioning, etc., are turned off and that all windows and doors are closed. If you check out late, we will charge you for this.
- The rented holiday home must always be left tidy at the end of your stay. This means tidying up the house and putting everything back in its place as it was upon arrival.
- A final check by the host will take place when returning the keys. This check is necessary to release the deposit.
- An early check-in or late check-out can only be arranged in advance and in consultation with the host.
6. Maximum Number of Persons
- The maximum number of people allowed to stay in tVilla White Lion is six.
- If more than six people stay in the holiday home without the landlord’s knowledge, the rental agreement will be terminated, and everyone will be denied access to the holiday home without any claim for a refund of the rent.
- Children are welcome at Villa White Lion. However, it is not recommended to stay with babies or very young children, as the villa is not adapted to their needs and expectations. For example, the outdoor terraces are not equipped with railings, and the pool is not separated from the terraces.
7. Modification by the Guest
- A change of the main booker’s name is free of charge.
- If you extend your stay, you will not pay any extra fees, only the extra nights at the current price.
- If you need to reschedule your trip due to a medical emergency (medical certificate required), you can rebook to another available period in consultation with us at no extra cost. If the price for the new period is higher at the time of rebooking, this supplement will be charged. In the case of a lower price, no refund of rental fees will take place.
- For a change of the arrival date without a medical certificate, there is an extra change fee of €200.
- If you leave the house before the end of the rental period, no refund of rental fees will take place.
8. Cancellation by the Guest
- For each booking confirmed by Villa White Lion, cancellation conditions apply. Since costs have already been incurred for the booking, the following percentages of the rental price are applied:
- Cancellation up to and including 60 days before the arrival date: 30%
- Cancellation 59 to 30 days before the arrival date: 75%
- Cancellation 29 days or less before the arrival date: 100%
- A cancellation is processed on a working day. The working day is decisive for calculating the cancellation costs. Working days are Monday to Friday from 9:00 AM to 5:00 PM, excluding public holidays recognized in Belgium. If the cancellation is received after the end of the working day, the next working day is decisive for calculating the cancellation costs.
- In case of cancellation, Villa White Lion can be offered for rent again and rented out.
- It is recommended to take out cancellation insurance and travel insurance with an insurance company of your choice to sufficiently cover unforeseen costs. These costs are borne by the tenant.
9. Modification by Villa White Lion
- Villa White Lion can make minor changes and will inform you in time. If it concerns major changes, we will ask if you accept these or prefer to cancel the booking free of charge. The deadline for communicating your choice is 24 hours if we inform you within 14 days before the arrival date; otherwise, it is 48 hours. If you do not communicate your choice within this period, the changes are considered accepted.
10. Cancellation by Villa White Lion
- If Villa White Lion becomes uninhabitable during or before the stay due to unforeseen circumstances or if it is no longer allowed to rent out the house due to laws and regulations, the landlord is forced to cancel the rental agreement and will inform the tenant immediately. Refund of already received rental fees will take place within 10 days. In this case, the landlord can never be held liable for compensation for any (consequential) damage and/or inconvenience. The landlord will try to offer an alternative within the possibilities where necessary.
11. House Rules
- Zandspruit Estate is a secured estate. Living in the bush alongside animals is a fantastic experience, but for the harmonious coexistence of humans and animals, there are rules that guests must adhere to:
- It is forbidden to feed the animals. It is important that nature takes its course and that animals do not learn to find food near the houses. The farm management of Zandspruit Bush and Aero Estate closely monitors animal welfare.
- Fishing in the dams and river, and taking bones, wood, shrubs, flowers, or other items from the Wilderness is not allowed.
- Driving, cycling, or walking on the runway, as well as the grass between the hangars and the runway, is not permitted.
- Walking is only allowed with a map, water, and a well-charged phone at hand.
- Be careful not to leave food unattended to keep unwanted guests like squirrels, monkeys, and snakes out. There are enough sealable containers in the kitchen to store food properly.
- It is the guests’ responsibility to ensure that all windows and doors are closed when leaving the villa. Note! Monkeys slide open the screens and enter through open windows, leaving a terrible mess.
- Cars must not drive off the designated paths. The maximum speed is 30 km/h, and animals, cyclists, and walkers always have the right of way!
- Enjoy the barbecue, but ensure everything is safe: think about fire hazards! Always place a full bucket of water next to the barbecue and be mindful of the barbecue’s position relative to the house (thatched roof) and the wind. It is advised not to use the barbecue in strong winds to minimize fire risk. Making fires in other places is strictly prohibited.
- Drones are not allowed on the entire estate.
- Do not cause noise disturbance. The volume of music should not disturb other residents. Parties with more than 10 people are not allowed.
- For your safety: do not dive into the pool.
- Recycle waste in the designated bins.
- Do not leave the air conditioners in the bedrooms running all day. Turning them on an hour before bedtime is sufficient for a cool bedroom.
- Water is scarce in Africa. Use it wisely and do not waste it.
12. Website
- The descriptions and photos on the Villa White Lion website are carefully compiled. It may happen that due to circumstances, they no longer fully correspond to the situation on-site. For example, because you are traveling in a different season, because the outdoor pool is covered upon arrival in winter, or because there is a new dining table. You can only hold us accountable for major changes. If it is clear that we made a mistake or error on our website, we are not bound by it.
13. Liability
- You are responsible for the correct and neat use of the holiday home and Zandspruit Bush & Aero Estate, considering the peace of the surroundings. This includes:
- Responsible use of fire, such as the fireplace and candlelight. It is not allowed to make a fire in the garden except in the barbecue.
- Closing doors and windows when leaving the villa.
- Leaving the house tidy (e.g., washing dishes and placing waste in the designated place). If the house and/or garden is in such a state that the set cleaning hours are insufficient, Villa White Lion has the right to charge extra cleaning hours.
- It is forbidden to use the holiday home to organize parties and/or drinking parties.
- Only the provided bedding is allowed on the beds.
- The main tenant is liable for damage caused by him/her, co-tenants, or any visitors, even if this is discovered during the final inspection after their departure.
- Breakage or missing items or damage to inventory or house must be compensated by the tenant.
- In case of damage, the landlord will recover the damage from the tenant.
- Emergencies and damage must be reported immediately by the tenant to the host of @Yourservice.
- The tenant is requested to be insured for damage to third parties, such as liability insurance (family insurance), to avoid unexpected extra costs.
- Villa White Lion is in no case liable for:
- Any disruption, change, or hindrance of the tenant’s stay if this is the result of unforeseen and/or insurmountable events.
- Injury to the tenant as a result of staying in the rented property and/or Zandspruit Bush & Aero Estate.
- Loss, theft, and/or damage to personal belongings or vehicles belonging to or used by the tenant.
- Interruption of utilities, water, and electricity.
- Physical injury caused by animals such as snakes, scorpions, hyenas, leopards, etc. Entering Zandspruit Estate / rented accommodation is at your own risk.
- Shrinking of clothing due to washing in the washing machine and/or dryer.
- Possible noise disturbance due to, for example, roadworks or construction activities.
14. Complaints
- If the stay does not meet your expectations, report this immediately during your stay to the host. If you cannot resolve it together, report it directly to Villa White Lion (info@villawhitelion.com). This way, the host and we still have the opportunity to come up with a suitable solution. Only if the complaint has a substantial and significant negative impact on your stay can a suitable solution consist of another - at least equivalent - accommodation (if available) or reasonable compensation. Villa White Lion is not obliged to come up with a solution if this is impossible or involves unreasonably high costs. If you do not report it immediately, you lose the right to compensation.
15. Applicable law and jurisdiction
- All bookings are subject to Belgian law. All disputes relating to this agreement will be settled by the competent court
